Presentation & E-poster instructions

Oral presentations (Free papers)

  • Format: PPT
  • Slide size: 16:9
  • Number of slides: No limit, depending on duration of talk. You can use the EBJIS template or your own template in 16:9.
  • Duration of talk: Your presentation is scheduled to last 6 minutes + 2 minutes for questions.
  • Conflict of interest: Please include a Conflict of Interest declaration as the first or second slide. You can use the EBJIS COI template or use your own. 
  • Image rights in e-Posters and oral presentations: When using images/photos in a presentaion, the authors  must ensure that they either own the copyright of the images or have secured the necessary license or permission from the copyright holder to use them for academic and publication purposes.

    The same applies to the use of image/photo documentation in case presentations, where patient consent is required (following locally applicable legislation). The authors take full responsibility for the presented/published images and their use in the scientific forums.

  • Please bring your presentation on a USB flash drive to the conference. We do not allow the use of personal laptops for presentations.
    Please bring your presentation to the Speakers Preview Room at least 2 hours before your oral presentation. Authors of the early morning sessions on Thursday and Friday will be requested to upload their presentation the day before. 
  • A technician will assist you in transferring the presentation into a central conference server. When the transfer is complete, the technician performs a quick run of the presentation in order for you to check whether the presentation runs correctly, and that the entire presentation is copied. 
  • Your presentation will then be available in the room in which your oral presentation is scheduled. 

Electronic Posters instructions (on display)

E-posters are on display on digital screens at the venue throughout the whole conference. All e-posters are available on all screens.

  • Format: 1-page PDF
  • Size: DIN A0 (1189 mm x 841 mm), portrait orientation
  • Template: You can use the EBJIS e-poster template
  • Format restrictions: PDF only (no hyperlinks, animations, or transitions). 
  • Image rights in e-Posters and oral presentations: When using images/photos in a presentaion, the authors  must ensure that they either own the copyright of the images or have secured the necessary license or permission from the copyright holder to use them for academic and publication purposes. The same applies to the use of image/photo documentation in case presentations, where patient consent is required (following locally applicable legislation). The authors take full responsibility for the presented/published images and their use in the scientific forums.

An e-mail with the upload instructions has been sent to all presenting authors on 19 August.

The presenting author is invited to upload a PDF version of your e-poster directly to the EBJIS online conference platform FLOQ.
For the best experience, we recommend using Google Chrome or Microsoft Edge browsers.

Access the platform

Go to: https://ebjis2025.floq.live/

  1. Click on the “Continue with email” button. Important: Make sure to use the same email address as for your abstract submission / registration.
  2. If this is your first time accessing the platform, you will be asked to create an account.
  3. You will receive a verification email to finalise your account. Open the email, verify your address, and then continue.

 

Upload your poster

  1. Once logged in, you will see the EBJIS 2025 tile. Click on it.
  2. Under “My Sessions”, you will find your e-poster(s). Click on your e-poster(s) to access the upload dashboard.
  3. You can now upload your e-poster in PDF format (see e-poster guidelines here).
  4. Click on “Upload PDF”.
  5. Select the PDF file from your computer.
  6. Once the upload is complete, you can close the window.

 

  • Deadline for uploading your e-poster is: 5 September 2025
  • For all references to products or companies, generic names must be used. Brand names can be inserted as a reference at the bottom of the E-poster. 
  • Advertising/corporate logos should be avoided on the E-poster. 
  • Sponsored posters should be identified by a text like: this work has been made possible by an educational/research grant from “X Company”.
