Oral & poster instructions

Presentation formats

The EBJIS-MSIS 2026 Conference offers four different presentation formats. Each format is designed to suit different types of scientific contributions.
The assigned format reflects the best fit for the content, not only the abstract score.

Free Paper (Oral):

  • 6-minute presentation + 2-minute discussion
  • Reserved for high-quality studies with substantial scientific or clinical impact
  • Suitable for work that requires time for explanation, context, and audience discussion

Short communication (short oral): 

  • 3-minute presentation + 2-minute discussion
  • Designed for focused studies with a clear, concise message
  • Suitable when results can be communicated efficiently in a shorter format

Physical poster:

  • Printed poster displayed onsite in the poster area
  • Best suited for work that benefits from visual presentation and interactive discussion
  • A selection of top-scoring posters will also be presented in chaired poster sessions

Electronic poster (e-poster):

  • Digital poster accessible both onsite and online
  • Ensures broad dissemination of accepted research
  • Suitable for contributions where a digital format provides sufficient visibility

Oral presentations (Free Papers & Short Communications)

  • Format: PPT
  • Slide size: 16:9
  • Number of slides: No limit, depending on duration of talk. You can use the presentation template or your own template in 16:9.
  • Duration of talk:
    • Free Paper presentations: 6 minutes + 2 minutes for questions.
    • Short Communications: 3 minutes + 2 minutes for questions. 
  • Conflict of interest: Please include a Conflict of Interest declaration as the first or second slide. You can use the slide in the presentation template or use your own. 
  • Image rights on posters and oral presentations: When using images/photos in a presentaion, the authors  must ensure that they either own the copyright of the images or have secured the necessary license or permission from the copyright holder to use them for academic and publication purposes.

    The same applies to the use of image/photo documentation in case presentations, where patient consent is required (following locally applicable legislation). The authors take full responsibility for the presented/published images and their use in the scientific forums.

  • Please bring your presentation on a USB flash drive to the conference. We do not allow the use of personal laptops for presentations.
    Please bring your presentation to the Speakers Preview Room at least 2 hours before your oral presentation. Authors of the early morning sessions on Thursday and Friday will be requested to upload their presentation the day before. 
  • A technician will assist you in transferring the presentation into a central conference server. When the transfer is complete, the technician performs a quick run of the presentation in order for you to check whether the presentation runs correctly, and that the entire presentation is copied. 
  • Your presentation will then be available in the room in which your oral presentation is scheduled. 

Physical (printed) Posters

A selection of posters will be presented as physical (printed) posters. These will be displayed in the poster area in the Ribiera Halls. Participants are encouraged to visit the posters during the breaks.

Authors of accepted physical posters are also encouraged to submit an electronic version, which will then be available in the conference app. More information on how to upload the e-poster will be available closer to the conference. 

Measurements:

  • Format: 1-page PDF
  • Size: DIN A0 (1189 mm x 841 mm), portrait orientation
  • Template: You can use the poster template

 

Content and design:

  • All posters should include title, name of authors, institution, city, and country.
  • The lettering of the title should be at least 25 mm high (approx. 70 pt)*, and the main text at least 10 mm high (approx. 28 pt)*. Depending on font*
  • The poster should be easily readable from 2 meters.
  • We recommend printing it as a paper poster (not fabric).
  • The poster area is in the Ribiera Halls at the conference venue.
  • Your poster must be in place by 10:00 am on Thursday 17 September.
  • It should remain mounted and available for viewing until 11:00 am on Saturday 19 September.
  • It must be removed by 14:00 pm on Saturday 19 September. After this time any posters remaining will be disposed of.
  • The Conference Organisers provide equipment for setting up the posters on the boards.
  • The Conference Organisers take no responsibility for left or damaged posters.

Electronic Posters (on display only)

Electronic posters are on display on digital screens in the poster area in “Ribiera Halls”. All electronic posters are available on all screens, as well as in the conference app. 

  • Format: 1-page PDF
  • Size: DIN A0 (1189 mm x 841 mm), portrait orientation
  • Template: You can use the poster template
  • Format restrictions: PDF only (no hyperlinks, animations, or transitions). 
  • Image rights on posters and oral presentations: When using images/photos in a presentaion, the authors  must ensure that they either own the copyright of the images or have secured the necessary license or permission from the copyright holder to use them for academic and publication purposes. The same applies to the use of image/photo documentation in case presentations, where patient consent is required (following locally applicable legislation). The authors take full responsibility for the presented/published images and their use in the scientific forums.

Details on how to upload your electronic poster will be available closer to the conference.

  • For all references to products or companies, generic names must be used. Brand names can be inserted as a reference at the bottom of the E-poster. 
  • Advertising/corporate logos should be avoided on the E-poster. 
  • Sponsored posters should be identified by a text like: this work has been made possible by an educational/research grant from “X Company”.
